Day Spa Terms & Conditions

Aim to be fair & reasonable and promote smooth operation of the spa and in consideration and respect for all staff, management and clients of Cullen Bay Day Spa. We ask that clients be responsible and respect our requirements for the continued operation of Darwin’s premier Medi- Spa.

All prepaid packages (more than 1 treatment)
(including IPL, RF Frequency, skin needling, facials, body treatments)

Please be advised of the following:

For effective hair reduction and lasting results, we recommend you follow the time frame and treatment plan recommended to you by our Skin Specialists. You also agree to terms set out in your consultation form &avoid sun exposure  (exposure does not only mean sun tanning) on area being treated & use sunscreen & have hair visible at each treatment so we can set correct parameters on IPL machine. You must not use any numbing cream on areas been treated or spray tan.

As you have received a discount for prepayment we suggest that all treatments must be:

  • completed  within 9 months of commencing or the relevant time frame agreed to.
  • book your treatment in advance after each treatment to avoid delays.
  • remember to attend your next appointment.
  • provideat least a 48 hour notice of cancelation& offer 2 alternate appointment dates & times so we don’t have to call you back for this information and we can rebook you promptly

If cancelling you must fill out our Request for Refund Form for management to consider &respond to each request. A response can take up to 7 business days in order to assess all the facts and collect all relevant information. Process can take longer if all information is not provided or available so please read carefully. Management will contact you via email or phone call so please be considerate of clients trying to relax & do not disrupt the tranquility of the spa environment.

The discount will no longer apply & each treatment will be charged at full price. So you must pay the difference of treatments to payments received  (eg. If you have received full leg IPL at the value of $500, and you have only payed $350 per treatment you will need to pay the difference or it will deducted from your deposit paid. )

Management may offer that the remaining balance of payments remaining (if any) after assessment can be used on other treatments (not products) at the spa.

If you are going away or are unable to make any appointments due to medical reasons regularly for an extended amount of time, we can suspend your treatments and payments for a maximum time period of 8 weeks.

Treatments and outstanding amounts are not transferable.

 

Canceling or Rescheduling

  • Also, as we are a busy clinic we appreciate at least a 48 hour notice of cancelation prior to your scheduled appointment time. This is necessary so all clients are given a chance to book an appointment. Less than 48 hour cancelation notice will attract full payment of treatment as we could have booked another customer in that spot and costs are incurred in order for our staff to be available for your treatment.
  • If you call & cancel or reschedule within 48 hours please offer 2 alternate appointment dates & times so we don’t have to call you back for this information and we can rebook you promptly.
  • We recommend you try & book in the same week or close too so your treating the hair at the anagen stage of growth ( follicle at full growthie size of apple than size of a grape).
  • You need to actually get confirmation/response from our receptionist that we have received your notice & your appointment has been canceled & or rescheduled& the new booking date.
  • Please appreciate saying you called & left a message is not sufficient as you need to ensure it has been received and acted on. You can email us at reception@cullenbaydayspa.com.au or call and leave a voicemail after hours or speak to our receptionists ( or leave a recorded message) during business hours on 89411522 or our spa mobile 0449660958. Again you must get a response to your notice and please appreciate we are busy. For Monday appointments we need to know by Friday  COB( as Saturday we are very busy with treatments and cannot answer the phone or sometimes closed for public holidays) as Sunday we are generally closed so we can rebook another appointment on Monday.
  • Please note you need to avoid sun exposure on area & use sunscreen & have hair visible at each treatment so we can set correct parameters on IPL machine. You must not use any numbing cream on areas been treated or spray tan.
     

Refunds & Returns

Gift Vouchers

Terms & conditions are written on the Gift Voucher as well as booking instructions to help you book in quickly and easily. Gift vouchers are not refundable  or redeemable for cash. Recipients must be reasonable & allow enough notice to be able to book in. We have 48hr cacelation notice as written on the Gift voucher. Validity is 3 months & the expiry date is clearly written so please follow booking instructions to book in advance before expiry. 

 

PRODUCTS 

Please be considerate of our terms & conditions & follow our booking instructions as are not responsible for personal circumstances that affect your ability to book before expiry.

  •  We are not required to provide a refund or replacement if you change your mind so please choose your product and treatments carefully at time of consultation.
  •  Only if an Item has a MAJOR PROBLEM such as the item:

- Is unsafe, defective or faulty

- Is significantly different from the sample or description

- Doesn’t do what we said it would or what you asked for and cannot be easily fixed.

  1. Please keep your proof of purchase and provided to us. ie your receipt .
  2. Please fill out our Request for Refund Form for management to respond & assess each request. A response can take up to 7 business days in order to assess all the facts and collect all relevant information. Process can take longer if all information is not provided or available. Management will contact you via email or phone call so please be considerate of clients trying to relax & do not disrupt the tranquility of the spa environment.
  3. For products- please fill out our relevant suppliers product return forms with all relevant information as they will need to consider a replacement or refund.
  •  If the problem is not major we will repair the item in a reasonable time frame. 

 

Memberships:

  • With any membership sign up cancelation there is a $50 cancelation administration fee and you must also pay the difference of discounted products received & discounted treatments to payments (eg. If you have received full leg IPL at the value of $500, and you have only payed $350 off your membership, you are required to pay the remaining balance or the difference will be deducted from any prepayments made).
